    Use attendance on the busiest day, not the payroll number. Hybrid offices routinely run at 45–65% of headcount, but Tuesday and Wednesday can hit 85%.     Above roughly 150 attending staff, two smaller machines on separate floors beat one large one. Two points halve the queue, survive a single breakdown, and usually cost less in total than a single high-output unit. The exception is a single-floor office with one kitchen, where a twin-grinder high-output machine is the cleaner answer.

    Milk, hygiene and the Monday-morning problem

    Fresh milk is what people want and what makes the offer feel worth having. It also needs a chilled cabinet beside the machine, an automatic rinse, and a chemical clean of the milk circuit. In offices with no dedicated operator, specify a machine that prompts and runs its own cleaning cycle and set the schedule around Friday evening and Monday morning — milk left in a line over a weekend is the most common hygiene failure in workplace coffee.

    What procurement should ask before signing

    Ask for the peak-hour rating, not daily capacity. Ask which filtration unit is fitted and at what interval it is changed. Ask for the response time in hours and what happens when it is missed. Ask whether the price is fixed for the term or indexed. Ask what the machine costs to exit early, and whether the agreement converts to ownership.     Cost per cup, the number that actually matters

    Rental divided by cups is the honest comparison. A £180 machine producing 3,500 cups a month is 5p a cup before coffee and milk; the same machine in a 20-person office producing 900 cups is 20p. Add roughly 12–18p of beans and 8–12p of milk per drink, and an office coffee programme lands between 25p and 50p a cup all-in — against £3.20 or more outside the door.
