    What a preventative visit covers

    Group head seals and shower screens replaced, steam valves and wands stripped and checked, grinder burrs inspected and measured, boiler pressure and brew temperature verified against specification, water filter exchanged, safety valves tested, and the whole machine deep cleaned. The engineer leaves a written report with wear items flagged before they fail, which is the part that stops surprise outages.

    Frequency follows volume, not calendar. Under 50 drinks a day, once a year. Between 50 and 200, twice a year. Above 200 drinks a day or in hard-water areas without reverse osmosis, quarterly. Grinder burrs are separate: they need replacing at roughly 400–600kg of coffee, and running past that quietly degrades every drink before it causes any visible fault.

    Water treatment inside the contract

    Filter changes are the most-skipped maintenance item and the most expensive one to skip. In hard-water regions an unchanged filter leads to scale in the boiler, restricted flow, thermal instability and eventually element failure — a repair that can exceed the machine's residual value. Every contract we write names the filter, the interval and who changes it.

    Response times and what they cost

    Cover levels differ mainly by how fast an engineer attends. Next working day is standard; same working day costs more and is worth it for any site where coffee is a material share of takings. Calculate it directly: a café taking £600 a day in coffee loses more in one closed day than a year of the upgraded response level.

    Safety and compliance

    Commercial machines are pressure systems and fall under the Pressure Systems Safety Regulations, which require a written scheme of examination and periodic inspection for qualifying equipment. A proper contract includes that inspection and the paperwork behind it. Ad-hoc repair callouts do not, and the absence only becomes visible when an insurer or environmental health officer asks.
