MACHINE SELECTION
Commercial Bean to Cup Coffee Machines
Quick answer
A commercial bean-to-cup coffee machine grinds, doses, brews and — on fresh-milk models — textures milk automatically, producing a consistent drink without a trained barista. UK commercial units cost £2,500–£18,000 to buy or £99–£600 a month to rent. The four decisions that matter are fresh milk versus powdered milk, cups per hour at peak, plumbed versus tank fed, and whether the cleaning cycle is automatic or manual.
Bean-to-cup is the right technology wherever drink consistency matters more than barista craft: offices, hotels, pubs, forecourts, gyms and any site where whoever is nearest presses the button. It is the wrong technology for a speciality café selling espresso as the product. Most disappointing installations come from picking a machine rated for a daily total when the real constraint is the nine-o'clock rush.
Who this is for
Fresh milk or powdered milk
Fresh-milk machines draw chilled milk from a fridge and texture it per drink. They produce a noticeably better cappuccino and flat white, and they are what any customer-facing site should specify. The cost is a milk fridge, a daily automatic rinse and a weekly deeper clean. Powdered-milk machines are cheaper to buy and to run, tolerate neglect, and suit back-of-house or low-expectation settings such as a workshop or a staff room. Putting a powdered machine in a hotel lobby is the single most common specification mistake we see.
Sizing by cups per hour, not cups per day
Manufacturers publish daily capacity, which flatters the machine. Work from the peak hour instead. A single-grinder tank-fed unit sustains roughly 30 drinks an hour before the queue builds. A plumbed single-boiler model with one grinder handles 60–80. Twin-grinder, high-output models with a dedicated milk system handle 120–180. A 120-person office concentrating arrivals between 8:30 and 9:30 needs a machine rated for 150 an hour even though its daily total is modest.
Plumbed or tank fed
Tank-fed machines need no plumbing and can be moved, which suits pop-ups, small offices and sites where drainage is impossible. Someone has to fill and empty them, and that person will forget. Plumbed machines connect to mains water through a filter and drain away automatically, which is the correct choice anywhere serving more than about 30 drinks a day. Retrofitting drainage under a finished counter is expensive, so decide at design stage rather than after tiling.
Cleaning, milk hygiene and who actually does it
Fresh-milk machines run an automatic rinse at set intervals and require a chemical clean of the milk circuit — typically daily on customer-facing sites and at minimum every 48 hours. Machines with an integrated cleaning cycle that prompts staff get cleaned; machines needing a manual strip-down often do not. When specifying for an office with no dedicated operator, the automatic cycle is worth more than any difference in drink quality between two comparable models.
Buying, renting or free-loan
Buying suits a stable site with capital, and puts the servicing bill on you at roughly £180–£350 per visit. Renting converts the whole cost to a monthly figure with servicing and filtration inside it. A free-loan arrangement removes the machine charge entirely against a minimum monthly bean commitment, which is usually the cheapest route for any site already consuming meaningful volume. The right answer is driven by consumption, not by the machine.

Indicative UK ranges reviewed September 2026. Peak cups per hour assumes fresh milk drinks; black coffee throughput is materially higher.

Frequently asked questions
How much is a commercial bean to cup coffee machine?
£2,500–£18,000 to buy in the UK as of September 2026, depending on output and whether it uses fresh milk. The same machines rent from £99 to £600 a month with servicing and filtration included.
Are bean to cup machines good enough for a café?
For a speciality café selling espresso as the product, no — a traditional two-group machine with a trained barista produces a better drink. For a food-led café, hotel or office where consistency matters more than craft, a fresh-milk bean-to-cup is the better commercial choice.
How often does a bean to cup machine need cleaning?
Fresh-milk machines need the milk circuit chemically cleaned daily on customer-facing sites, and at minimum every 48 hours anywhere. Automatic rinse cycles run several times a day but do not replace the chemical clean.
Do I need plumbing for a bean to cup machine?
Not for a tank-fed unit, which suits small offices and sites without drainage. Anything serving more than about 30 drinks a day should be plumbed, because manual filling and emptying stops happening within a fortnight.
How long does a commercial bean to cup machine last?
Eight to twelve years with correct water filtration and scheduled servicing. Without filtration in a hard-water area, expect boiler and valve failures from around year three.
